Welcome to ChurchDatabase. These Terms of Service ("Terms") govern your access to and use of ChurchDatabase's services, website, and software (collectively, the "Services"). By using our Services, you agree to be bound by these Terms.
1. Agreement to Terms
By accessing or using ChurchDatabase, you agree to these Terms and our Privacy Policy. If you don't agree, you may not use our Services.
2. Who May Use Our Services
You may use our Services only if:
- You are 18 years or older
- You have the authority to bind your church or organization to these Terms
- You comply with these Terms and all applicable laws
- You are not prohibited from using our Services under UK law
3. Account Registration
3.1 Creating an Account
To use ChurchDatabase, you must:
- Provide accurate, complete, and current information
- Maintain and update your information
- Maintain the security of your password
- Accept responsibility for all activities under your account
- Notify us immediately of any unauthorized use
3.2 Account Security
You are responsible for maintaining the confidentiality of your login credentials and are fully responsible for all activities that occur under your account.
4. Subscription and Payment
4.1 Subscription Plans
ChurchDatabase offers various subscription plans with different features and pricing. You agree to pay all fees associated with your chosen plan.
4.2 Billing
- Pricing: All prices are in GBP and exclude VAT unless stated otherwise
- Payment: Fees are charged in advance on a monthly or annual basis
- Auto-Renewal: Subscriptions automatically renew unless cancelled
- Payment Methods: We accept credit/debit cards and Direct Debit (via GoCardless)
- Failed Payments: If payment fails, we may suspend your account after notification
4.3 Changes to Pricing
We may change our pricing with 30 days' notice. Changes will not affect your current billing cycle.
4.4 Refunds
- 30-day money-back guarantee for new customers
- Pro-rata refunds may be provided at our discretion
- Annual subscriptions may be eligible for partial refunds within the first 30 days
5. Free Trial
We offer a 30-day free trial for new customers. During the trial:
- You have access to all features
- No payment is required to start
- You may cancel anytime during the trial without charge
- If not cancelled, you will be charged for the plan you selected
6. Acceptable Use
6.1 You May:
- Use our Services for lawful church management purposes
- Store and process data of your church members
- Integrate with approved third-party services
6.2 You May Not:
- Use our Services for any illegal purpose
- Violate any laws or regulations
- Infringe on intellectual property rights
- Share your account credentials with others
- Attempt to gain unauthorized access to our systems
- Interfere with or disrupt our Services
- Use automated means to access our Services (except with permission)
- Resell or redistribute our Services
- Upload malicious code or viruses
- Harass, abuse, or harm others
7. Data and Privacy
7.1 Your Data
You retain all rights to data you upload to ChurchDatabase. You grant us a license to use this data solely to provide and improve our Services.

You are responsible for the accuracy, quality, and legality of your data and the means by which you acquired it.
8. Intellectual Property

ChurchDatabase and all related software, technology, and content are owned by ChurchDatabase Ltd. You may not:
- Copy, modify, or create derivative works
- Reverse engineer or decompile our software
- Remove or alter any proprietary notices
8.2 Your License
We grant you a limited, non-exclusive, non-transferable license to access and use our Services for your internal church management purposes.
9. Third-Party Services
ChurchDatabase may integrate with third-party services (e.g., payment processors, email providers). Your use of these services is subject to their own terms and conditions.
10. Termination
10.1 By You
You may cancel your subscription at any time through your account settings. Cancellation takes effect at the end of your current billing period.
10.2 By Us
We may suspend or terminate your account if:
- You breach these Terms
- Your payment fails (after notification)
- We are required to do so by law
- You engage in fraudulent or illegal activity
10.3 Effect of Termination
Upon termination:
- Your access to our Services will cease
- You may export your data within 30 days
- We will delete your data after 90 days (unless legally required to retain)
11. Warranties and Disclaimers
11.1 Our Services
We strive to provide reliable Services, but we provide them "AS IS" without warranties of any kind, except as required by UK law.
11.2 Uptime
We target 99.9% uptime but cannot guarantee uninterrupted service. We are not liable for service interruptions due to maintenance, updates, or factors beyond our control.
12. Limitation of Liability
To the maximum extent permitted by UK law:
- Our total liability is limited to the fees you paid in the 12 months before the claim
- We are not liable for indirect, incidental, or consequential damages
- We are not liable for data loss if you failed to maintain backups
Nothing in these Terms limits our liability for:
- Death or personal injury caused by our negligence
- Fraud or fraudulent misrepresentation
- Any liability that cannot be excluded under UK law
13. Indemnification
You agree to indemnify and hold harmless ChurchDatabase Ltd from claims arising from:
- Your use of our Services
- Your violation of these Terms
- Your violation of any rights of another party
14. Changes to Terms
We may modify these Terms at any time. We will:
- Notify you of material changes via email or in-app notification
- Update the "Last updated" date
- Provide at least 30 days' notice before changes take effect
Continued use of our Services after changes constitutes acceptance of the new Terms.
15. Governing Law and Dispute Resolution

These Terms are governed by the laws of England and Wales.
15.2 Disputes
Any disputes shall be resolved in the courts of England and Wales.
16. General Provisions

These Terms, together with our Privacy Policy, constitute the entire agreement between you and ChurchDatabase Ltd.
16.2 Severability
If any provision is found unenforceable, the remaining provisions continue in full force.
16.3 No Waiver
Our failure to enforce any right or provision does not constitute a waiver of that right or provision.
16.4 Assignment
You may not assign these Terms without our consent. We may assign these Terms to any affiliate or successor.
